Terms of service
Last updated 15 October 2026
About these terms
These terms are between Holdline ("we") and the company using Holdline ("you"). By starting a trial or a subscription you agree to them.
The service
Holdline is an online app for recording fire door and passive fire protection work. We'll provide it with reasonable skill and care and aim to keep it available at all times, except for planned updates (which we try to do out of working hours) and events outside our control.
Your account
You're responsible for who you give logins to and for what's recorded under them. Tell us straight away if you think a login has been misused. Each login is for one named person.
Free trial
A free trial lasts the number of days shown when you sign up. At the end you can choose a plan, or your account is paused and your records are kept for 30 days so you can download them.
Plans and payment
Prices are shown on our pricing page and are plus VAT. Plans are paid monthly or yearly in advance. If your team grows past your plan's number of users or storage, we'll talk to you about moving to the right plan; we won't stop your work without warning. We'll give you at least 30 days' notice of any price change.
Your records
Everything you record in Holdline belongs to you. You can download all of it at any time from Users & logins. We back it up every night. We act as your processor for any personal information in your records: we only process it on your instructions to provide Holdline, keep it confidential and secure, use Hetzner Online GmbH (EU) as our hosting sub-processor, help you respond to requests from the people concerned, tell you without undue delay about any breach, and delete or return it when you leave.
Fair use
Don't use Holdline for anything unlawful, try to break or overload it, or try to get at other customers' information.
Responsibility
Holdline records the work you and your team carry out; it doesn't certify or approve that work. You remain responsible for the work itself and for the accuracy of what's recorded. Our total liability in any year is limited to the fees you paid us in that year. Neither of us is liable for indirect losses or loss of profit. Nothing here limits liability that can't be limited by law.
Ending
You can cancel at the end of any paid period. We can end the service with 90 days' notice, or straight away if you seriously break these terms. When an account ends, you have 30 days to download your records, after which we delete them (backups are cleared within a further 30 days).
Law
These terms are governed by the law of England and Wales.
